The Guide for At Large Members provides an overview of roles, responsibilities, deadlines, and resources for At Large Members. The Discussion Panel Meetings and Executive Committee Meetings pages describe step-by-step how the discussion panel and EC meetings will proceed.
Chairs and Vice Chairs should be familiar with the Review Policies and Instructions.
At Large Members are full members of the Executive Committees.
During the Discussion Panel Meeting
At Large Members attend the Discussion Panel Meetings. The expectation is that they will attend a range of panel meetings to have a broad view of the review process. At Large Members may be requested to serve as panel Chair for panels discussing proposals for which the Chair and Vice-Chair are conflicted. At Large Members do not grade, nor provide Proposal Feedback comments to Discussion Panel proposals.
Panel Chairs and Vice Chairs can gather feedback from the Discussion panelists on a subset of their assigned EC proposals. This feedback will later be shared with the EC to inform the discussion. The EC Panel Managers will coordinate with the At Large Members and relevant Chair(s) so that At Large Members may get feedback from Discussion Panel(s) on any of their assigned EC proposals.
During the EC Meeting
During the EC Meetings, At Large Members, Chairs and Vice-Chairs have the same role as Discussion panelists during the Discussion panel meetings. At Large Members grade EC proposals, attend the in-person EC Meeting, and provide Proposal Feedback Comments. At Large Members may also participate in discussions related to duplication adjudications.
Reviewers are forbidden from using Generative Artificial Intelligence (GAI) tools to assist with any part of their reviews since this violates the confidentiality of the review process. This means that it is forbidden to upload proposal contents or review materials to GAI tools. It is also forbidden to upload your written comments to GAI tools for the purpose of constructing your final review or polishing the language.
