APT Proposal Information

The JWST proposal information section of APT provides a place to enter proposal title, abstract, PI and CoI information, and other information of a supporting nature for your proposal.The Proposal Information section of APT can be found in the Tree Editor of APT and provides a place to enter information of a supporting nature for your proposal. Much of this information will ultimately appear on the cover page of the formatted APT proposal. Opening the Proposal Information tab on the Tree Editor avails additional sub-sections, one for entering a program summary text block and an interface to enter PI and CoI information as appropriate. This GUI also contains a place to add the name of your science and technical PDF file for uploading prior to submission of your proposal.

Dark gray boxes in APT are not editable, and are for pieces of information that are filled in automatically by APT. The Proposal Information GUI contains several such boxes that will be filled in and adjusted as you edit your proposal. For example, when your proposal is complete and you have run Smart Accounting, the official Science Time, Charged Time, and Data Volume for your proposal will be filled in automatically. The Allocated Time box will only be filled in for accepted proposals.



Proposal Information

Supporting information is entered in the Proposal Information GUI by choosing the form editor on the Top Tool Bar and then "Proposal Information" in the Tree Editor at the left.  The JWST APT Proposal Information GUI appears in the Active GUI Window and contains entry areas for required information about each JWST proposal. Required parameters are:

  • Title
  • Abstract
  • Proposal category (Pull-down menu: GO, GTO, DD, ERS, AR, SURVEY, or NASA)
  • Proposal cycle
  • Requested Exclusive Access Period for new data (default: 12 months for GO proposals)
  • Science category and keywords (note an alternate category can also be selected)
  • PDF attachment (science justification/description of observations; prepare separately and attach prior to submitting your proposal)

A box labeled Pure Parallel Proposal can be selected if the proposal is for this specific special kind of proposal.  Normal proposals can contain primary observations and coordinated parallel observations, but pure parallel proposals are completely separate proposals and are handled differently.  See JWST Parallel Observations to understand the specifics of these different kinds of parallel observations.

As proposed observations are entered, APT calculates the science time request and total time request (including overheads) for all observations specified, and displays these values on the Proposal Information GUI.  These values are a point of reference used by the JWST time allocation committee in reviewing the proposal. 

Proposers may optionally edit the following additional parameters if needed:

  • explain unschedulable observations; may be used to explain any unresolved APT errors or warnings at the time of submission. In most cases, proposers are expected to resolve errors prior to submission, but if an unanticipated situation is encountered and an STScI exception is obtained, this text section can be used to provide the relevant information.
  • request custom time allocation; certain special cases can cause the normal accounting in APT to be inaccurate.  If the requested time allocation for your proposal is different from that calculated by APT,  proposers may enter a "custom time allocation."  However, an explanation is required for a custom time allocation (e.g., target of opportunity observation).  The APT-calculated times cannot be modified and remain visible in addition to the custom request.
  • request time in future cycles; such requests must be scientifically justified.
  • request coordinated observationswith other facilities; see the current JWST Call for Proposals for a description of available coordinated observing opportunities with other facilities. 

Selecting the small arrow to the left of items in the Tree Editor will show subordinate sections that can be selected to enter information.  For Proposal Information, this includes Proposal Description and Team Expertise selections and a selection to enter Principal Investigator and/or Co-Investigator information.  The Proposal Description and Team Expertise selections provide free-format text boxes where you should enter any relevant details about your proposal that may be useful for future reference.  The PI and CoI selections include a search box that can be used to find and enter contact information directly from the STScI ProPer database (or enter new investigator information if needed).
